 Luminary Studios may require to collect some of your personal information for instances such as registering for a class, attending a trip or applying for role at Luminary Studios. The information may include:

• Parent or guardian name(s)
• Contact details, including address/email address and telephone number(s)

• nationality
• Health information
• Education, career and skills
• Payment information (bank or credit card details)
• Records of your correspondence with us
• Records of your participation with us (including as a member or as a volunteer)
• Donation history and gift aid details
• Information you enter on our website
• Photographs, video or audio recordings
• Online identifiers and behaviour
• Opinions and biographical information
• Data about criminal convictions or offences
• Data relating to fraud or financial irregularities
• Any other information you share with us

We may collect the above information in the following ways:

• Directly - you give it to us directly such as through a registration form or when you talk to us. 
• Indirectly - third parties such as youth services might share your personal data with us. 
• Publically -  we may access your personal information from social media accounts, for example, when you correspond with us via Facebook or Instagram. 
• Data relating to fraud or financial irregularities

Sensitive dataWe do not process all the data in the same way. For example, sensitive data such as your health, ethnicity and criminal convictions/offences require additional protection.  We will only process this type of data if there is a valid reason for doing so and in compliance with the law.
We normally only record this data where we have your consent. However, sometimes we are permitted to record sensitive data in other circumstances, under data protection law. For example, if there is a safeguarding concern.

• Keeping you updated on Luminary Studios services, policies and procedures.
• Keeping a record of your relationship with Luminary Studios for our administration.
• Making sure the right care is in place for activities.

• Monitoring equal opportunities.
• Accessing applications for employment/volunteers/building contractors.
• Communicating with you, for example when collecting registration information or arranging payments.
• Completing customer orders for goods or services, including payment and updates about delivery.
• Meeting obligations under the consumer protection law.
• Processing and managing, fundraising activities and donations.
• Keeping you up to date with our fundraising and marketing activity via our website, text message campaigns, telephone, email and direct mail. 
• Preventing and detecting illegal activity. 

We need a lawful reason to collect and use your personal data, four of which are relevant to Luminary Studios. We can use information on the basis of:

• Consent - you have given clear consent to process your data for a legitimate reason 
• Contract -  with us for example when entering into employment with Luminary Studios (for example to provide you with goods or services that you have purchased from us).
• Legal Obligation - compliance with the law such as the process of carrying out due diligence on large donations).
• Legitimate interests - such as capturing activities via photos (please see below) 

We rely on the legal basis of legitimate interest for the capturing of photographs, video, and recordings during Luminary studios events and activities, which can be used in our promotional materials. However, you are within your legal rights to withdraw from such information being publicised when completing the registration/application forms.

 If you are under the age of 18 you must get permission from your parent or guardian before registering or giving Luminary Studios any information. 

Luminary Studios keeps your data for as long as we deem suitable but it will always be to fulfil the reasons for why we collected it in the first place. However, if we no longer require your personal data, we will delete it 10 years after the date you left Luminary Studios.  

We will remove your data from our records before this date if:

• Your personal information is no longer needed in connection with the purpose.
• We are no longer lawfully entitled to process it.
